  • 1.  Charging for Medical Records & Discs

    For those of you with imaging centers, are you charging your patients for copies of discs and/or physical copies of reports? We have a patient portal where reports can be downloaded, but not images. We have patients asking for multiple copies of discs for themselves, not referring providers. We also run into patients requesting copies of discs and then not picking them up. We also incur a lot of costs with mailing them. 

    Can anybody share what they are doing with charging for medical records?

    I have one client that gives every patient a CD of their scan before they leave the center free of charge as part of their service. A replacement CD is $15.00

    I have another client that charges a flat $15.00 per CD whether it is mailed or the patient picks it up.

    There are state statutes that dictate what you can charge for records. We bill for multiple clients who most definitely charge for them and they are not released until paid. Invoices are sent primarily to law offices and for patient copies. They do not charge the referring doctors.

    We offer patient one free copy of their record (per exam) in the format of their choosing. Their options are mailed report, emailed report, CD that includes images and report or emailed zip file that includes the images and report. Any additional format we do charge $10 per format-pre payment required.   We do not charge for records for continuing care.

     

    For patients that ask to pick up their CD, we call once the CD is available and will hold for 90 days. After that time the CD is PHI'd and note made on the record request "Abandoned record".
