Jennifer -   We use Qgenda.  Their analyst indicates the people they find the most successful are those who perform jigsaw puzzles as a hobby.   We use a team of people to support the process.  An admin assistant, some reception personnel, and then a Scheduling Committee comprised of 3 radiologists to audit, provide policy updates and frankly run interference.   The role requires knowledge of seat subspecialty requirements, physician preferences and solid diplomacy skills and a backbone.    We had to create an audit tool that exports the Qgenda assignments to a 3rd party proprietary database that uses audit rules for finding errors.   Qgenda has many alerts, but it's easy for the team to overlook or blow by, so the audit tool has been immensely helpful.   In my experience, it takes literally years of training for them to become competent so invest in someone who has a long career horizon and a willingness to team.   Good luck.

    Hi Jennifer

I think it's probably more about the mindset than the education or background.  I believe the key qualifications would be:

    1. General understanding of radiology terminology and operations (modalities, procedures, etc.)
    2. Well organized and detail oriented.  Ideally prior experience managing a complex schedule to demonstrate that.
    3. Excellent communicator
    4. Maturity to handle complaints from docs who don't get what they want
    5. Ability to think quickly and act to handle last minute unexpected changes
    6. Assuming you use some sort of scheduling system, comfort with technology.  Bonus points if able to work towards automation of the process.

Unless you have a very large group, the schedule shouldn't be a full time job, so a full time person should be able to contribute in some other way.

Good question Jennifer. As a radiology practice operations specialist I spend a significant amount of time working with Radiologist Schedules. I have assisted multiple groups (large and small) with their schedules using both the Qgenda and Lightning Bolt products (and Physician Scheduler way back in the day).

It is very difficult to have any staff member work on the schedule if the core bones of the scheduling process are not in place. If the correct structure is put into place up-front, I think a dedicated lover of Sudoku can manage the schedule if they have a strong radiologist supporter behind them.

So first a high level staff member and radiologist need to create a sensible structure, and then a bright, enthusiastic Sudoku loving staff person with strong conviction can do the job in my opinion.
