We are an Indiana practice who have remote physicians in other states. They are receiving correspondence to their home address, we are assuming based on what is reported in Box 32. Are any other practices experiencing this? If so, have you found a way to resolve it? Thanks.

    Hi Mari,

I used to be on the RCM side of the business. A couple of my clients used telerads. We used to have TONS of mail that was delivered to home addresses even though the correspondence address was always the PO box. It was infuriating. What I found out was that there was a glitch in the Medicare claims processing system that allowed Medicare to pass the address in box 32 to the secondary crossover insurers as the pay-to address. I don't know if the glitch has been fixed. It seemed to be nationwide, not just in Florida where my clients were located.

We ended up sending a special letter to the provider relations dept at Medicare informing them that no mail should be sent to any address other than the PO box. They had some backdoor way of hardcoding the PO box into their claims system outside of PECOS. PECOS already had the correct address. We then had to send W9s to all of the other payors to have them update their pay-to addresses to the PO box.

    Hope this helps. Good luck!
